Acceptable Use Policy

Who this applies to
This policy applies to everyone who accesses Term Tracker, whether as an account owner, a project member, or an invited collaborator.
Data you must not upload
Term Tracker is a contract analysis tool intended for commercial contracts, vendor agreements, and similar business documents. The following categories of data must not be uploaded:
Protected Health Information (PHI) Term Tracker is not a HIPAA-covered service. Do not upload contracts or documents containing PHI as defined under HIPAA, such as patient names tied to medical conditions, treatment details, or health insurance identifiers. If a contract touches on healthcare services, redact PHI before uploading.
Payment card data (PCI) Term Tracker is not PCI-DSS compliant. Do not upload contracts containing primary account numbers (PANs), card verification values (CVVs), magnetic stripe data, or other PCI-in-scope cardholder data. Most service contracts do not contain raw card data; if yours does, redact it before uploading.
U.S. export-controlled technical data (ITAR / EAR) Do not upload contracts containing U.S. defense or dual-use technical specifications controlled under the International Traffic in Arms Regulations (ITAR) or the Export Administration Regulations (EAR). This includes design data, manufacturing processes, and technical parameters for controlled items. Term Tracker does not have export control clearances.
Classified or government-restricted material Do not upload material classified under any government classification system (e.g., Confidential, Secret, Top Secret) or otherwise subject to government-imposed access restrictions.

Acceptable use
- Use Term Tracker only for contracts and documents you are authorized to analyze. Do not upload documents belonging to others without appropriate authorization.
- Do not use Term Tracker in a way that violates any applicable law, regulation, or third-party intellectual property rights.
- Do not attempt to access other customers' data, probe the security of the service, or interfere with service availability.
- Do not use Term Tracker to generate or distribute spam, malware, or fraudulent content.
Reasonable use
File uploads are capped at 50 MB per file. This limit is enforced by the service.
We do not publish rate limits today but reserve the right to introduce them to maintain service quality for all users. We may contact you if usage patterns suggest automation or bulk activity that affects other customers.
We may suspend or terminate accounts for clear policy violations without prior notice.
AI extraction and human review
Term Tracker uses AI models to extract structured terms from contracts. AI extraction can produce errors, omissions, or misinterpretations, particularly on complex or ambiguous contract language. Do not rely on AI-extracted terms without human review for any decision with legal, financial, or operational consequences. Term Tracker is a productivity tool to assist contract review, not a substitute for legal counsel.

Changes to this policy
When we make material changes to this policy, we will update the effective date and publish the revised policy at this URL. If you have a signed agreement with Term Tracker that references this policy, we will notify you per the terms of that agreement.
